Acceptable Use Policy
Your employer or the organization that invited you has an agreement with Depot that governs your organization’s use of the service and the data in it. This policy covers you — how you personally use Depot. By using Depot, you agree to the following.
Use Depot for your organization’s work
Use your account only for the work of the organization that invited you. Don’t use it for anything else, and don’t let anyone else use your account.
Keep your access to yourself
Depot signs you in with a code sent to your email. Don’t share that code with anyone, including coworkers. Anyone with your code can act as you in Depot.
If you think someone else has access to your account, tell your administrator right away.
Inspection records must be truthful
This is the most important thing in this policy.
Record what you actually observed. Do not mark an item as inspected if you did not inspect it. Do not mark a defect as resolved if it was not resolved. Do not change a record to make a problem disappear.
Your organization may rely on these records to meet safety and regulatory obligations, and other people may rely on them to decide whether a vehicle or piece of equipment is safe to operate. A false record is not a paperwork problem — it can put someone at risk and can create serious consequences for you and your employer.
If you’re unsure whether something is a defect, record what you saw and flag it. That is always the right answer.
Photos and voice memos
Capture only what documents the equipment and its condition.
- Photograph the asset, the defect, or the reading — not people, not documents unrelated to the inspection, not anything private.
- Record voice memos about the equipment and the work. Don’t record conversations with other people, and don’t record anything personal.
Don’t put sensitive personal information into Depot
Depot is for equipment and maintenance records. Do not enter or upload:
- health or medical information about anyone
- government identifiers (social security numbers, driver’s licence numbers, passport numbers)
- payment card or bank account numbers
- anything else you’d consider sensitive about a person
If you think your work genuinely requires one of these, stop and ask your administrator first.
Stay inside your organization
Don’t try to access data belonging to another organization, another branch you aren’t assigned to, or another user’s account. Don’t try to get around the permissions your administrator has set.
Don’t interfere with the service
Don’t attempt to break, overload, probe, scrape, reverse engineer, or copy the Depot software or the data of others. Don’t upload anything malicious. Don’t use automated tools against Depot without written permission.
Tell us if something looks wrong
If you find a security problem, see data you don’t think you should have access to, or notice something that looks like a bug affecting records, report it to your administrator or email [email protected]. Reporting something in good faith will never get you in trouble with Depot.
A few things to know
Your organization controls the account and the data. Your administrator can see your activity in Depot, change your access, and remove your account. The records you create belong to your organization, not to you or to Depot.
We may suspend access. If someone uses Depot in a way that breaks this policy, harms other users, or creates legal risk, we may suspend or remove access. Where we can, we’ll tell your administrator first.
Questions about your data. If you want to know what personal information Depot holds about you, or to exercise a privacy right, start with your administrator — your organization controls that data. You can also read our Privacy Policy or email [email protected].
Changes. If we update this policy we’ll update the date above and ask you to review it the next time you sign in.
